Senior CAFM Application Specialist
Job Purpose
The Senior CAFM Application Specialist supports the Digital Transformation department through the effective management and continuous enhancement of the company’s Computer-Aided Facility Management (CAFM) system. Responsibilities include overseeing data administration, PPM workflows, troubleshooting, user training, system integrations, and reporting.
The role requires advanced knowledge of data architecture and reporting tools to generate actionable insights and drive operational excellence across Facilities, Assets, and Hospitality functions. The position involves collaboration with cross-functional teams and vendors to ensure optimal system performance, while upholding best practices in data quality, security, and user support.
Key Responsibilities
System Configuration & Administration
Design, develop, and configure CAFM software solutions, including energy management modules.
Set up new sites, user accounts, functional locations, assets, stores, utilities, contracts, SLAs, KPIs, and PPM plans.
Perform bulk data uploads using Excel import tools.
Manage workflows in Workflow Pro and align them with evolving business processes.
Troubleshoot CAFM system issues and implement effective solutions.
Data Management & Quality
Coordinate, verify, and audit CAFM data for accuracy and compliance.
Maintain and enhance asset registers, utility trackers, inventories, and area schedules.
Identify and cleanse inaccurate data to minimize errors.
Automate data collection, storage, and consolidation across multiple sources.
Reporting & Analytics
Design and maintain reports, dashboards, and analytics (Crystal, Concept, Citrix Workplace, SQL).
Analyze datasets to identify trends and support decision-making.
Deliver dashboards and reports (daily, weekly, monthly, quarterly, YTD).
Support benchmarking, lifecycle costing, and CAPEX planning through data models.
Integration & Continuous Improvement
Coordinate CAFM integrations with BMS, IoT, CMS, BI tools, and other platforms.
Lead initiatives to enhance CAFM system performance.
Support policy and procedure improvements for the department.
Monitor vendor compliance with system requirements and escalate non-compliance.
Security & Access Control
Manage user roles and access rights per company policies.
Monitor system security and ensure IT compliance.
Support system access and data protection audits.
Communication & Collaboration
Collaborate with management, peers, contractors, and subcontractors.
Prepare reports, presentations, and charts on system performance, utilities, and energy KPIs.

Qualifications
Education:
Bachelor’s degree in Information Technology, Computer Science, or related discipline (mandatory).
Certifications/training in CAFM systems (MRI/FSI) desirable.
Qualifications in Business Intelligence, Data Analytics, or Database Management advantageous.
Work Experience:
Minimum 7 years in CAFM systems (MRI/FSI preferred) and IT environments.
At least 2 years in IT solutions and data support services.
Minimum 3 years in software development, system implementation, and data management.
Proven experience in developing, customizing, and supporting CAFM or enterprise systems.
Expertise in SQL, BI platforms, data modelling, and workflow optimization.
Experience in integrating CAFM with BMS, IoT, CMS, and related technologies.
Strong background in Crystal Reports, Concept, dashboards, and analytics.
Knowledge:
Advanced understanding of CAFM systems (MRI/FSI), configuration, and workflows.
Strong knowledge of data modelling, database architecture, and reporting infrastructure.
Familiarity with software development and data management best practices.
Proficiency in SQL, BI platforms, and analytics tools for reporting.
Knowledge of KPIs, SLAs, lifecycle costing, and CAPEX planning in facilities management.
Awareness of compliance requirements, industry standards, and sustainability practices.
Skills:
Strong communication skills, able to translate technical concepts for non-technical users.
Expert in MRI/FSI CAFM software and Workflow Pro.
Skilled in SQL, Citrix Workplace, Microsoft Excel, Python, and data visualization tools.
Proficient in Crystal Reports, Concept, and BI dashboards.
Ability to optimize workflows and troubleshoot complex issues.
Strong organizational and interpersonal skills with client-focused mindset.
High integrity, self-motivated, and capable of working independently.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
